Automation studio · Email-first

We turn 45‑minute tasks into 45‑second ones.

GSL Automations finds the work your team repeats every day (quoting, chasing, invoicing, filing, publishing) and builds automations that do it for you. We can show you a demo of your own workflow before you commit to anything.

Free workflow audit We map the task and measure what it costs you today.
Demo on request We can show your own workflow running before any commitment.
Email-first Written scope and price before any work starts.

You can see your own workflow running before you pay for anything

Every engagement starts the same way: we take one task that wastes your week, walk you through it as a working demonstration, and only then talk about price. Here is the shape of it.

Today

Illustration: the kind of process we find in most small businesses

  1. A customer emails asking for a price.
  2. Someone hunts through past jobs, rates and availability.
  3. The quote is typed up by hand from memory and an old template.
  4. It sits in a drafts folder until someone has time to check it.
  5. It is sent days later, after the customer has chased.

With the workflow automated

Built around your tools and your approval rules

  1. The enquiry lands in one queue and the details are captured.
  2. Rates, availability and job history are pulled together automatically.
  3. A quote is drafted from your template, ready for a person to approve.
  4. You approve it in one click, and it goes out and is logged.
  5. Follow-ups happen on schedule, whether or not anyone remembers.
Two rows of numbered steps compared. Today, five steps, all done by hand: the enquiry arrives in a shared inbox, rates are looked up from old job sheets, the quote is retyped from a template, it waits in drafts until someone checks it, and it is sent days later after a customer chase. With the workflow automated, four steps with one human check: the enquiry is captured automatically, it is priced from your rates and job history automatically, the quote is drafted for you to approve, which is the one step marked You approve, and it is sent and logged with follow-ups scheduled automatically.

This is an illustration of the pattern, not a published case study. A demo is built from your real workflow and your real timings, which is the point of it.

How it works

From one email to a working automation

Four steps, no sales funnel. You can stop after any of them.

  1. Email us the task

Tell us the workflow that wastes the most time: what triggers it, who does it, and how often it happens.

    A short email
  2. Free workflow audit

We map how it runs today, every hand it passes through, and how long each step really takes. You get it in writing.

    In writing, free
  3. See a demo

We can walk you through your own workflow running automated, start to finish. If it is not clearly better than today, we stop and you owe nothing.

    Before any commitment
  4. Build, run, report

We build it around your existing tools, keep a human on the approvals, and report the hours returned each month.

    No lock-in
What we automate

The repetitive work that quietly eats your week

These are the six places we find the fastest wins. Most businesses start with one and add the next once the hours show up.

Quoting & proposals

Enquiry in, accurate quote out. It is priced from your real rates and job history, and drafted for a human to approve in one click.

Replaces: retyping quotes from memory and old job sheets.

Lead qualification & follow-up

Every enquiry gets a fast, consistent reply, and the follow-ups that win work actually happen on schedule, not when someone remembers.

Replaces: shared inboxes where leads go cold in the gaps.

Invoicing & payment chasing

Invoices raised on time from the job record, with polite, escalating reminders that go out without an awkward phone call.

Replaces: month-end admin and chasing money by hand.

Documents & data entry

Forms, PDFs, statements and spreadsheets read, checked and filed into the right system, with an exception list for anything unclear.

Replaces: copy-and-paste between systems, and paper.

Appointments & bookings

Bookings, confirmations, reminders and reschedules handled automatically, with no-shows flagged before they cost you a slot.

Replaces: ringing round to confirm and re-book.

Content & publishing

Turning your existing recordings and material into finished, scheduled content: scanned, clipped, captioned and published to a plan.

Replaces: a content backlog nobody has time to work through.

We never open with the technology. We open with the hours you get back, show you your own workflow running, and keep a person on every approval.

Who we help

The industries where the hours are hiding

We focus on the unglamorous, high-value work most providers skip, where automation is still rare and the payoff is large.

Accountants & bookkeeping

Chasing records, reconciling statements and rebuilding the same client reports every month.

Trades & construction

Turning enquiries into quotes, and keeping the job schedule honest.

Estate & letting agents

Applicant follow-up, viewing coordination and compliance paperwork.

Solicitors & conveyancers

Instruction intake, document bundles and client updates at every stage.

Recruitment agencies

Screening, scheduling and keeping candidates warm between roles.

Property managers

Maintenance reporting, contractor scheduling and renewal reminders.

Logistics & haulage

Proof-of-delivery paperwork and customer status updates.

Insurance brokers

Renewal chasing, quote comparison and policy document handling.

Dental & vet practices

Recall reminders, no-show chasing and treatment follow-ups.

Why us

We lead with results, not technology

Six commitments that shape every project, and that you can hold us to.

Value-first, not AI-first

We never open with the technology. We open with the hours and the money you get back, and we keep measuring them after go-live.

See it working first

We can show you your own workflow as a working demonstration before you are asked to pay for anything. If the demo does not land, there is no charge.

Built for the unglamorous industries

Accounting, trades, property, legal, logistics, insurance, dental and vet. Rarely the first target of automation providers, but usually the biggest win.

Your tools, not ours

We automate around the systems you already use, so nothing has to be ripped out, retrained or explained to your team twice.

A person stays on the approvals

Anything that leaves your business, or touches money, is signed off by a human. Automation that stays under your control.

We run our own business on it

Quoting, invoicing, follow-up and publishing at GSL Automations run on the same automations we sell, so we live with the result daily.

Questions

The things people ask before they email

How much does it cost?

The audit and the demo are free. After that, each workflow is a fixed fee, agreed in writing by email before any build starts, so you know the number before you commit to anything.

What does the process look like?

First the free audit, in writing. Then a demo of your own workflow running automated. If you approve, we agree a fixed fee, build it around your tools, and report the hours it returns each month.

Do you need access to my systems?

Only the minimum needed for that workflow, usually a shared mailbox, a folder, or read access to one tool. Access starts read-only where we can, is agreed with you in writing, and can be revoked at any time.

What happens to my data?

It stays in your systems. We work with the accounts and folders you choose, we do not copy your data into a separate product of ours, and access is removed when the work ends. Details are in the data statement below.

What if it doesn’t work?

You find out before you pay. The demo either shows a clear improvement on your current process or it doesn’t, and if it doesn’t, we say so and you owe nothing. Anything we do build keeps a human on the approvals and has a defined hand-back if we part ways.

Do you only work with the industries listed?

Those are where we know the workflows best, but the method works anywhere there is repetitive admin. If your task is a poor fit for automation, we will tell you straight away rather than sell you something that will not pay for itself.

How do I get in touch, and do you call?

By email. Send the task that wastes the most time and you will get a written reply. Keeping everything in writing (scope, price, approvals) means there is always a clear record for both sides.

Who will I actually be dealing with?

Luke Owens, the founder. There is no account manager and no handover: the person who reads your email is the person who maps, builds and reports on the automation.

What happens next: we reply by email, ask two or three questions about the workflow, then send the free audit and the demo. Price comes last.

  • The task itself, and what triggers it
  • Roughly how often it happens, and who does it today
  • The tools involved, such as your inbox, spreadsheet, CRM or practice software
